Access by browser
Overview
In the page header, you’ll find four large buttons (marked in red) with which you can navigate to respective areas.
By clicking on your name on the top right (marked in green), a menu will open with which you can
- Call up your profile
- Call up your personal settings
- Call up assistance
- Download the desktop application
- Log out

The Search function (marked in bright blue) is found under its own name.
Under this function is located the data area, which contains multiple relevant buttons and groups of buttons (marked in dark blue).
- The gear symbol opens a menu with options for the current folder.
- File and folder operations for setting and editing the content of the folder.
- Shows one of the last changes in the current folder.
- Quick filter to systematically filter the content in the current folder.
- With a click on the 'down' arrow, you open a menu with further options for the file or folder.
To edit your user profile or language settings, click on your name in the upper right and select the item 'Show Profile'. After that, click on the button 'Edit ...' (marked in blue).
An additional window will open in which you can edit your language, time zone and other fields. The fields 'User ID', 'First Name' and 'Last Name' will be filled in automatically and cannot be changed.
First, click on your name (1.), then use the button 'Log Out') (2.).
Working with files and folders
To upload a file(s), change to the folder in which the file(s) will be saved. In the example, the file will be saved in the folder 'Important Files'.
Then click on the button 'Add File' (1.), and a dialogue with a blue crosshatched area will be shown. You can now open a file selection window by clicking on the 'Browse' button and select the file(s) there (2a) or drag file(s) from Windows Explorer into the crosshatched area (2b).
Note: You cannot currently upload a folder in this way.
Note: If you possess no write permission, the button 'New Folder ..' will be greyed out.
To download a folder as a ZIP file, click next to the folder on the arrow (1.).
After that, select the option 'Download all files as ZIP files' (2.)
Be aware: Under MacOSX, the file format is not currently supported. To unpack the files, you will need an unpacking program.
Please note: Files and folders are deleted directly from your Novell H: drive or Novell I: drive and are not readily recoverable. If you have deleted important files, please contact the ZIM hotline (Tel. 1888) immediately.
Select the file(s) or folder(s) (1.) and click the button 'Delete' (2.). Confirm the procedure by clicking 'OK' (3.).
Note: The 'Delete' button will be greyed out if you lack the necessary rights.
For all current Office file formats, you can have a preview generated.
To do so, click on the small arrow next to the name (1.) and then on 'Show HTML' (2.).
Click on the speech balloon symbol (1.). In the dialogue that then opens up, you can write a commentary (2.) and send it by clicking 'Send'.
With the subscription function, you can find out about changes to a file or all folder content.
Select the files and folders to which you wish to subscribe (1.) and click the button marked 'Next' (2.). Select the option 'Subscribe ...' (3.). You now have multiple options from which to choose:
- A) Once a day, at 2:15 a.m., an e-mail will be sent to you with a summary of all changes.
- B) You’ll be sent a message whenever there is a change.
- C) For each change, you’ll be sent an e-mail with the file as an attachment.
- D) You’ll be sent an e-mail without formatting.
- E) If there is already a subscription to a parent folder, you can have it overwritten. This is helpful if, for example, you don’t wish to receive any e-mails for certain subfolders.
Currently, you cannot subscribe to any files and folders on approval. You must have write permission to create a subscription to network drives.
Note: Depending on whether the changes are written through Filr or another access path, Filr might not detect changes immediately.
Example: If a file is saved in Windows directly to H: or I: on the server, Filr will not detect this. To make the changes recognised, the folder must be called up with a mobile app or the web browser. If no one calls up the file or folder, the change will be first recognised on the following weekend.
As when you create a subscription, call up the subscribe dialogue and delete or remove the settings.
Sharing files and folders
Select the file(s) and folder(s) that you wish to share (1.). Then click the button 'Release' (2.) and select the option 'Release ...' (3.). In the dialogue that opens up, select the user or group to which the release should apply (4.). Simply type in the name component. Now select the rights of the receiver and the expiry date. You can end by entering a note (5.). Confirm the release by clicking 'OK' (6.).
You can access the releases only through Filr.
Note: At this time, only individual files can be shared from network folders.
Note: Only files can be shared with a link. Anyone who knows the link can call up the file. There can be only one link per file.
For normal releases, select the files and click on the button 'Release'. Now you have two options:
- Copy file link: A dialogue will open up in which corresponding links can be generated by clicking on 'Call Up File Link', if this has not already occurred. You can copy this and insert it into an e-mail or chat.
- Send file link via e-mail: The links will be sent to the indicated e-mail addressees automatically.
For a few file types, there are two links:
- One that offers the file for download.
- One that shows a preview in the browser so the receiver won’t have to open the file in a program.
Please note: If you click the 'Delete' button, the file or folder will be deleted from the drive.
To do so, go to the area 'Shared by me'. There you will see an overview with all the files and folders you have shared.
Select the file or folder whose release you would like to change or delete (1.). Click the button 'Release' (2.) and select the option 'Release ...' (3.). In the dialogue that opens up, you have the option of deleting the release (A) or changing the settings (B).
To do so, select the file or folder, click 'Release' and select the option 'Release ...'. In the dialogue, click now on the letter symbol (1.), then enter the e-mail address of the recipient (2.). Confirm your selection with 'OK' (3.). If the release is internal, now set the rights, the expiry date and possibly a note and confirm with 'OK'.
An e-mail will now be sent to the indicated address. The link in the e-mail leads to a login page for an external account. To that end, the person must enter their last name, first name and a password.
Note: An external account can be accessed only if a release has been granted and doesn’t have its own storage.
